7 Steps to Reducing Your Motor Fleet Claims Costs

Employees driving for your business need to act fast at the scene of an accident.
When they have been involved in a collision with a third party, your driver needs to telephone through to your accident management company or insurer as soon as possible.
This will give your insurance company a chance to contact the third party driver and get them in a hire car at a reasonable cost before the credit hire companies get involved.
Your driver needs to take a deep breath, stay calm, think about their safety and the safety of those people in other vehicles and remember these steps:
1) Record Details of the People in the Other Vehicle
Ask your driver to note who is in the other vehicle involved in the accident; they should make a note of the number of people, their names and contact details. Get your drivers to read back the phone number details to check they’ve recorded them correctly. Also ask your driver to make a note of anything that the third party driver says. The court often deems there to be truth in the statements that are made at this time.
2) Record the Details of Witnesses
Your driver should make a note of witnesses and record their names and contact details as well. If someone has been hurt the Police must be called. Your driver should wait for the Police to arrive and ensure that the attending officer makes a note of those present. It’s also useful for your driver to make a note of the Police officers name, number and station.
3) Issue Details of your Insurance Company to the Third Party
Provide a scene of accident reporting form to record relevant details. The form should have a tear off section for the third party driver. This section should contain details of your motor fleet insurer and invite the third party to contact your insurer to arrange repairs. It should also state that the third party driver has a duty to appropriately manage the cost of their vehicle repairs.
4) Take Useful Photographs
Ask your driver to take photographs of the view from the drivers seat, position of vehicles on the road, tyre marks on the road, damage to street furniture and signposts etc. Take pictures of the damage to the vehicles and also take pictures of highway features to allow the crash position to be identified in the future. Only if it’s safe to do so, take a photograph of the occupants of the third party vehicle.
5) Sketch a plan of the scene
A pack in the vehicle should provide a pencil and paper to allow a sketch of the crash site to be made giving a plan of where the vehicles are on the road and in relation to each other.
6) Be Wary
Instruct your driver not to admit liability and do not sign any document that is produced by the third part driver. Remember that even an apology for the event happening can be misconstrued.
7) Report the Accident Immediately
Report the accident through whatever route your business has set up but ensure that your insurance company knows about the accident and has the third party details as soon as possible. A phone call to your insurer should ideally be made within 2 hours of an accident occurring.
